From vehicle data to eCoC XML: a practical workflow for manufacturers

Your vehicle may be ready to leave production while its certificate data is still spread across spreadsheets, approval documents and internal records. Preparing an eCoC starts with bringing those sources together for the right vehicle. Electronic COC Platform gives your team a shared place to prepare the record, review the data and generate XML, with each subsequent step kept visible.

Start with the right approval and vehicle profile

Choose the approval record and template that apply to the vehicle you are preparing. Check the category and completion status before working through the technical fields. A completed bus and a vehicle in another category do not necessarily need the same information. Getting this starting point right helps your team avoid correcting individual fields in a record built around the wrong vehicle context.

Reuse shared data, then check what makes this vehicle different

A template gives you a starting set of information for the series. It does not replace the review of an individual vehicle. Confirm the VIN, production date and any values that can change between vehicles. If equipment or specifications changed during production, make sure the record reflects the vehicle as built rather than simply accepting every prefilled value.

Review the vehicle before creating the file

Check that the approval, variant or version information and technical values describe the same vehicle. For a multi-stage vehicle, keep the earlier-stage data distinct from the information added at completion. Doing this while the record is still being prepared makes it easier to resolve discrepancies at their source, before they appear in a generated document.

Generate the XML and work through the results

Once the record is ready, generate the XML and review the XSD and ICM results. If a check identifies a problem, return to the relevant vehicle data and investigate the cause. After changing information that affects the output, generate the file again. An earlier download should not be treated as the current version of a record that has since changed.

Keep preparation, signing and submission in view

An XML file being available does not mean it has been signed or received by a registration authority. Those steps depend on your company’s permissions, certificate arrangements and authority connection. Managing the vehicle record through these stages gives production and homologation teams a clearer view of what is ready and what still needs attention.
